Recording of Activity Hours
– What does it mean?

For you

Contributing to the overall success of your club. Every month the Secretary files a report to the District and the report shows how many service hours have been contributed by its membership. The Governor, in turn, must report these hours to CKI. It is a method of keeping track of how busy all clubs are and how much activity is taking place in all of the Districts.

Remember! It is up to you to report your hours to your club Secretary.

For the club

  1. The club must keep accurate records through the monthly report filed by the Secretary in recording the activity hours.  These hours are tracked by Circle K International to measure the total service hours for all clubs in a year.  On a District level, an award will be given for the club with the most service hours in a given period.

What are Service Hours, Administrative Hours and Interclubs?

Service Hour
A service hour is at least 60 minutes of work performed  by one or more members doing service work whether it be hands-on or fundraising. Planning, preparation, acquiring supplies or conducting necessary pre-project training are all considered part of the service hours.  The service event must be sanctioned by your club, the District, or the Kiwanis family.

Travel time to and from the event is also included. Travel time consists of time spent in travel to the project or other event at which the primary purpose is service.  Overnight stops, social time, or meal time does not count towards the service hours. For cases in which service is performed at an event but the primary purpose of the event is not service, such as at Conventions or International Conventions, travel time to the event should not be counted as service hours.

Service hours expended by non-CKI members such as faculty advisors, Kiwanis club members etc shall not be added to the service hours performed by the club.

Administrative Hours
An administrative hour is at least 60 minutes of work performed by a member on behalf of that club.  Fundraising activities where proceeds are raised solely for the clubs benefit are considered to be administrative hours. Also contacting other community organizations counts as an adminstrative hour unless it is for the purpose of planning a project, then it is a service hour.

Administrative hours expended by non-CKI members do not count.

Interclubs
See Section J, Point 4 of the International Policy Code for the full definition of an interclub. For clubs with 15-20 members (schools with populations under 1000), 2 members are required to constitute an interclub. For clubs with 21-30 members, 3 members must attend, and for clubs with 31 or more members, 4 members must attend to be considered an interclub. An interclub can mean visiting another Circle K club (including one in formation), a Key Club or attending a Kiwanis meeting

Kilometers should be counted for interclub credit, not hours.  The total measure of an interclub shall be the round trip kilometers multiplied by the number of interclub participants.

Time spent performing service with members of other Kiwanis-family clubs may be dually counted as an interclub credit, if applicable, and as service hours.
